What is Workflow Automation?
Workflow automation is the use of software to run a business process end to end without manual handoffs — routing information, applying rules and triggering actions across systems. It replaces the manual copying, chasing and status-checking that sits between the steps of a process rather than the steps themselves.
Understanding Workflow Automation
The value is almost always in the gaps, not the tasks. In most companies the individual steps are already software-assisted; what is manual is the connective tissue — someone exporting a report to email it, someone retyping an order from a message into an ERP, someone checking whether a document arrived. Those handoffs are where the hours and the errors accumulate.
Automation is worth doing where a process is high-frequency, rule-governed and stable. It is worth avoiding where a process is rare, requires judgement, or changes every quarter — automating an unstable process just means rewriting the automation every quarter. The honest first question is not 'can this be automated' but 'is this process settled enough to be worth encoding'.
The most common failure is automating a bad process faithfully. If a workflow has four approval steps because of an incident five years ago, encoding all four makes the waste permanent and harder to remove. Mapping the process before building it routinely eliminates more work than the automation itself.
